Summary of Responsibilities
Under the supervision of the Service Manager, the Service Assistant is responsible for supporting the service team to ensure full customer satisfaction by managing calls, preparing quotes and correspondence, and acquiring relevant information through research. He (She) is also responsible for documentation management for the service department.
•Managing incoming calls for the service department and direct them to the appropriate people;
•Managing customer and supplier correspondence for repairs (RMA) and update information in the CRM / ERP system;
•Supporting the service team with quotes and communication with customers and suppliers for all in-house and third-party repairs;
•Follow-up on service contracts with customers and prepare contract renewals;
•Supporting the team in the search for vendor information and keep up to date information in the ERP and CRM system;
•Supporting the team in the creation of work orders, and in collaboration with our service technicians, manage the preventive maintenance schedules;
•Managing and maintaining the various libraries, the documentation, the procedures and the inventory of supplies and safety equipment for the service team;
•Keeping track of the training schedules of the service team;
•Managing the schedule of verifications and calibrations of work tools;
•Translating documents, procedures and letters;
•Writing professional correspondence in both languages;
•Support the Service Manager in any other administrative tasks as required.
•DEP or DEC in Office Administration or equivalent;
•Advanced working knowledge of Office suite software;
•Familiar with an ERP system;
•Strong organizational skills;
•Attentive to the details;
•Strong oral and written skills in French and English
